Tips for Moving Your Office or Office Equipment
You’re business is growing. You need a newer, larger copier or need to move to a new office. On top of everything else, you need to ship your office equipment. Following the advice below will de-stress and simplify your next office equipment shipment.
Label Your Office Equipment and Furniture
The easiest way to accomplish this is to have employees label their own computers, furniture, or cubicles. This will help make sure the right equipment goes to the right employees, the right furniture sections stay together, and that you can account for any office equipment lost during the move.
Properly Pack Your Office
Have employees pack their own desks and delegate packing of whole office items to employees:
- Desks – contents emptied and packed
- Bookcases – contents emptied and packed
- Filing Cabinets – upright filing cabinets may retain contents if the drawers are secured, lateral cabinets must be emptied and drawers secured
- Supply Cabinets/Shelves – contents emptied and packed, loose shelves secured
- Smaller Office Equipment (fax machine, scanner, small printer) – unplug and pack any cables, but leave the equipment unpacked.
Shipping Large Office Equipment
When shipping office equipment, you’ll want to defer to your supplier or professional equipment movers. Office equipment like servers or copiers are expensive, heavy, and complex machines that are likely to break if handled improperly. Before shipping, arrange to have any fluids drained (if applicable) and disconnect and pack any cables. For computers, back them up and make sure the sensitive areas of displays are protected.
To make things easier when you arrive at the new office, have a floor plan ready for your movers, so they place office equipment and furniture in the correct place the first time, instead of making multiple moves.
